How do I create an appointment?

Create an appointment from the calendar by clicking a free slot or the + button, pick the client and service, then confirm the deposit if needed.

From the calendar, click the + button in the toolbar, or click directly on a free slot in the grid (the time fills in automatically). A panel opens where you pick the client, service, artist, and slot. Save it and the appointment shows up right away on the grid.

Open the creation form

There are two ways to open the form.

  • The + button in the calendar toolbar, at the top.
  • A direct click on an empty slot in the grid: that slot's time is carried over automatically into the form.

Fill in the appointment

The form asks for, in order:

  • The client: search for an existing client, or create one on the fly without leaving the form.
  • The service: sets the slot's default duration.
  • The artist involved, if your studio has more than one.
  • The date and slot: only time ranges that respect your working hours are offered.
  • Consumables, if you want to attach ink batches or supplies used for the session (traceability).

A safeguard prevents booking an appointment on a slot that's already taken: if the chosen slot overlaps an existing appointment, saving is blocked.

Request a deposit at creation

If you turn on the deposit for this appointment, a confirmation window shows up before it's sent: it recaps the calculated amount (based on your deposit policy set up under Finance) and warns you that an email with the payment link goes out to the client as soon as you confirm.

  • You confirm: the appointment is created with deposit pending status, shown by a dashed border on the grid until the client pays.
  • You cancel: the form stays open, nothing is sent.

Without a deposit requested, the appointment is created directly as confirmed, with no extra step.

After creation

The appointment shows up immediately on the calendar grid, on the right date and slot. You can then:

  • Reopen it to add notes or portfolio visuals.
  • Reschedule it if the slot no longer works.
  • Track the deposit payment if it's pending.

Edge cases

The client isn't in your records yet. Create them directly from the appointment form, no need to go through the client page: the same information is requested (name, contact).

No slots show up on the date you want. Check your working hours for that day: a day off or a blocked range reduces the slots on offer.

You want to link consumables used during the session. Add them from the consumables picker in the form: it keeps a trace of the ink batches and supplies used.
