How do I create and fill out a client record?

Add a new client from the list, enter their contact details, then fill out their record with notes, tags, history, and active projects.

You create a client from Clients, the Add button, entering at least their first and last name. Their record then fills out with contact details, notes and tags, appointment history, and consent forms, all accessible from their detail page.

Add a new client

From the Clients list, the Add button opens a panel. First and last name are required. You can also enter phone, email, date of birth, address (with autocomplete), and an emergency contact.

  • If a valid email or phone number is entered, a default communication channel block appears: email, SMS, or WhatsApp.
  • A duplicate check runs automatically as you type: if a matching client already exists, a warning blocks saving until you resolve it.

Linking to an existing account

If the email or phone entered already matches an existing Sweb account, a neutral confirmation box offers to link that account to your studio, without displaying that account's information, for confidentiality. You confirm, and the client is created linked to that account.

Fill out the client record

Once the client is created, their record (/clients/:id) brings together everything you need to know.

  • Contact details: editable directly on the record if the client doesn't have a Sweb account on the user side; read-only otherwise.
  • Notes and tags: a short note and tags to find this client quickly (preferences, particulars).
  • Appointment history: the list of past appointments, with any reviews left.
  • Consent forms: every appointment requiring consent appears here, signed or pending signature.
  • Stats and active projects: visible in the side column, along with the client's status and loyalty level.

Book an appointment or contact the client

From the record, the Book appointment button opens the appointment creation panel directly with the client already selected. The message icon takes you to messaging with this same client pre-selected.

Edge cases

The Save button stays disabled. Check the duplicate warning: you either need to fix it, or view the existing record instead of creating a new one.

The client's contact details aren't editable. That's normal if this client has a Sweb account on the user side: their contact details belong to them and stay read-only on your record.

I can't deactivate a client. Check your permissions: deactivating a record is limited to roles allowed to edit clients.
