How do I handle a no-show?

Mark an appointment as no-show from its detail view when the client doesn't turn up: the status becomes final and the slot frees up.

When a client doesn't turn up for their appointment, open its detail view and choose the No-show action. The appointment moves to this status, which is final: no further editing or rescheduling is possible after that. The freed slot can then be offered to another client.

Mark an appointment as no-show

From the relevant appointment's detail view, click the No-show action (visible among the status actions). The appointment changes status immediately and the calendar grid reflects the new status.

What this changes

  • The no-show status is final, just like a completed or canceled appointment: no further mutation action is available on it from the detail view.
  • The slot stays visible on the grid but is no longer an active appointment to honor.
  • If a deposit had been paid, tracking it still happens from the Deposits page, independently of the appointment's status.

Difference with a cancellation

A cancellation is when a client lets you know in advance. A no-show is an absence on the day itself, with no warning. Telling the two apart helps you track who cancels properly versus who doesn't show up, useful for adjusting your deposit policy over time.

Filling the freed slot

A slot that frees up after a no-show can be offered to a client on the waitlist: open the waitlist, find clients who match the slot, and send them an invitation or book directly for one of them.

Edge cases

The client lets you know at the last minute, right before the appointment time. That's your call: if you consider it a late cancellation rather than a no-show, use the Cancel action instead.

You picked the wrong status. Since no-show is final, double-check before confirming: no correction action is available from the detail view once the status is set.

A deposit had been paid for this appointment. The no-show status doesn't automatically change anything about the deposit: manage its refund or retention from its own detail view, under Finance > Deposits.
