How to create a multi-session tattoo project?

Create a project from the projects list: pick the client, the service, fill in the details, and see a live financial summary before you save.

From Projects, click Add a project: a panel opens where you pick the client, the service, and fill in the details. A financial summary updates live as you type. Once you save, three quick actions are offered: schedule an appointment, request the deposit, or view the project.

Open the creation panel

From the projects list, click Add a project at the top of the page. The panel opens as a side panel (full screen on mobile).

Fill in the project

The form asks you, in order, for:

  • The client: search for an existing client in your records, or create one on the fly without leaving the panel.
  • The service: your choice automatically sets the project type (custom, flash, cover-up, touch-up) and the pricing strategy applied.
  • The description, body area, style, technique, and ink you're planning to use.
  • Reference visuals, if you or the client already have some.

Follow the financial summary

A financial summary appears and updates with every field you fill in. It shows the estimated total, VAT, any design fee, the deposit, and the remaining balance. This summary adapts to the pricing strategy of the chosen service.

  • Fixed price: full breakdown (service, VAT, deposit, balance).
  • Hourly rate: the rate shown, pending the actual duration.
  • Starting from: a floor price, pending the final figure.
  • Quote only: just a "quote only" note, no amount, until the project is priced.

If a deposit is required for this service, its amount shows up in the summary, calculated from the deposit policy you've set under Finance.

Confirm and move on

Once the project is saved, a confirmation screen offers three actions.

  • Schedule an appointment for the first session.
  • Request the deposit from the client, directly from this screen.
  • View the project to keep filling it in (visuals, drafts, consent).

You can also close the screen without picking an action: the project stays saved and reachable from the list.

Edge cases

The client isn't in your records yet. Create them directly from the project creation panel, no need to go through the clients page first.

The price isn't showing yet. That's expected for a quote-only or hourly-rate service: the final amount appears once the duration or the pricing is set, from the project's detail view.

You want to change the service afterwards. The project type (custom, cover-up, touch-up) follows from the service picked at creation. For a substantial change, open the project once created and adjust it from the overview tab.

The project comes from a client request. If the client already reached out through a project request, handle it from the incoming requests instead of recreating a project by hand: accepting the quote creates the project automatically.
