How do I fill a freed slot with the waitlist?
From the waitlist, click Match to see clients matching a free slot, then contact them or book directly.
Updated on July 3, 2026
From the Waitlist page, a "Match" button appears on clients as soon as a free slot matches them. You click it, see the slot and the matching clients, then contact them or book directly for one of them.
View the matches
In the "Active queue" tab of the waitlist, every waiting client who matches a now-free slot shows a "Match" button. Clicking it opens a panel with the slot's details (date, time, service, price, duration) and the list of matching clients, each with their loyalty badge and wait time.
Select and act
Check one or more clients in the list, or use "Select all" to move faster.
- A single client selected: you can choose between "Contact" (send a message) and "Book now" (direct booking on the slot).
- Multiple clients selected: only "Contact" is available, to offer the slot to all of them at once.
Contact the selected clients
"Contact" opens a message panel by email, SMS, or based on your setup. With multiple clients, a stepper walks you from one to the next: if several share the same channel, an "Apply to all" shortcut lets you send the same message to everyone at once. Once every client has been handled, a confirmation screen appears.
Edge cases
No Match button shows up. The system hasn't identified a match for this client yet: their availability or requested service doesn't line up with a currently free slot.
You want to withdraw an offer you already sent. From the "Pending offers" tab, the "Revoke" button on the client's row lets you cancel the offer, with a reason of your choice and the option to notify the client.
You're a solo artist in a multi-artist studio. You only see waiting clients that concern you, not those of other artists in the studio.
What's next
If the client doesn't respond in time, you can revoke the offer and propose it to the next person on the list, or handle it as a no-show if the appointment had already been confirmed.
