Who can do what? Roles and permissions

Owner, manager, artist, apprentice, and receptionist: each role gives access to different actions on the team, the schedule, and member profiles.

Your studio has 5 distinct roles: owner, manager, artist, apprentice, and receptionist. The role determines what a member can see and change, especially around team management and schedules.

The available roles

When you add a member to your team, you assign them one of these roles:

  • Owner: that's you, the studio's owner. This role can't be assigned to someone else by a manager, and an owner can't be archived.
  • Manager: manages the team and the studio at the same level as the owner for most actions.
  • Artist: the default role for a tattoo artist. They manage their own appointments and their own schedule.
  • Apprentice: junior profile, same base access as an artist.
  • Receptionist: manages front desk and bookings, but doesn't show up in the team list (managed from user settings, not from the Team page).

What team management allows

The following actions are only visible and accessible to an owner or a manager:

  • Adding an artist to the team.
  • Accessing the Schedule button from the team list.
  • Editing another member's profile, role, and availability from their profile.
  • Archiving or reactivating a member.

An artist, apprentice, or receptionist doesn't see these actions: they can view their own profile, but can't edit a colleague's if they view it.

What an artist can do on their own profile

Every member can view and edit their own profile (identity, contact, languages, skills, signature styles), even without team management rights. However, only an owner or a manager can change a role, an employment status, or archive an account, including their own: a member can never archive themselves.

Guardrails around the owner role

A few rules protect the owner's place in the studio:

  • A manager can never assign the owner role to someone.
  • The owner's role can't be changed by a manager.
  • The owner can't be archived, neither by a manager nor by themselves.

Schedule and permissions

Access to the schedule follows the same logic as team management. Depending on your plan and configuration, the team's collective schedule may be available to managers, while an artist, apprentice, or receptionist accesses their own individual schedule through "My schedule". Cancelling an appointment from a schedule view is only offered if you have the right to manage your own schedule or the team's.

Edge cases

I'm a manager but I don't see the option to change a colleague's role to owner. That's expected, this choice is never offered to a manager: only an owner can decide to transfer that status.

I can't find the receptionist in the team list. Receptionists don't show up on the Team page: they're managed from user settings.

I'd like to archive myself to stop receiving appointments. That's not possible directly: ask another owner or manager of the studio to do it for you.
