How to archive or reactivate a member?

From the member profile menu, archive a member to make them unavailable and close their bookings, or reactivate them to restore everything.

From a member's profile, open the ... menu and click Archive member. The member becomes unavailable and their bookings close. To restore an archived member, the same menu offers Reactivate member, which restores their availability and bookings.

Archive a member

Open the profile of the member in question, then the kebab menu ... at the top of the page. If the member can be archived, click Archive member. A confirmation window shows their name before confirming. Once confirmed, the member is deactivated and you're taken back to the team list.

Archiving makes the member unavailable for new bookings and closes their access to online booking. It's not a deletion: their data and history stay accessible.

Reactivate a member

If the member is already archived, the same menu offers Reactivate member. Reactivating restores their availability and reopens their bookings. You're also taken back to the team list after confirming.

View the public profile

The same menu also gives access to View live profile, which opens the member's public booking page in a new tab. Handy to check what their clients see before or after archiving.

Who can archive

Only an owner or a manager can archive or reactivate a member. Two guardrails always apply:

  • The owner can't be archived, neither by themselves nor by a manager.
  • A member can't archive themselves, even with team management rights.

Edge cases

I don't see the Archive option in the menu. Check that you're an owner or a manager: other roles don't have access to this action. If you're viewing your own profile, the option never appears, even for a manager.

I archived a member by mistake. Go back to their profile and click Reactivate member in the same menu: their data hasn't been lost, everything becomes active again immediately.

I want to find an archived member in the team list. Use the availability filter on the Team page and select "archived" to find them.

An archived member had upcoming appointments. Archiving closes their future bookings on the online booking side, but doesn't delete appointments already scheduled: check their schedule before archiving if sessions are in progress.
