How do I track my consumables stock?
Check your quantities by product and by batch from the Inventory tab, adjust your stock by barcode scan or inline, and get alerted when you need to restock.
Updated on July 3, 2026
You track your stock from the Inventory tab of the Inventory page: each product and each variant shows its committed, available, unavailable, and on-hand quantities. A banner appears at the top of the page if products are out of stock or below their restock threshold, so you know what to order without combing through the whole table.
The four quantities shown
For each product or variant, the Inventory tab distinguishes:
- On hand: what you physically have.
- Available: what can still be used or sold.
- Committed: what's already reserved for a planned use.
- Unavailable: what's no longer usable, shown in red as soon as there is any.
An overall status, in stock, needs restocking, or out of stock, is calculated automatically for each row and lets you filter instantly using the quick pills at the top of the table.
Adjusting your stock
Two ways to correct a quantity:
- Scanning: from the dedicated icon in the list or on the product record, you scan or enter a barcode, find the matching product and variant, then adjust the batch quantity with a reason (session, sale, removal, adjustment, restock).
- Inline, on a specific batch: a quick adjustment right in the table, without going through the full scan flow.
Each adjustment creates a timestamped stock movement attached to the relevant batch, which you can then view in the product record's history.
What's immutable
Once created, a stock movement can no longer be edited or deleted. This is an NF525 traceability guarantee on your consumables: if a quantity needs correcting, you go through a new adjustment movement rather than a retroactive edit.
Edge cases
You want to adjust stock without scanning. Use the inline adjustment available directly on the batch row in the table.
A product is nearing its expiry date. This mostly concerns inks and batch-tracked consumables, found in the ink register rather than the general stock view.
Price or sale columns don't show up. These columns are hidden if the sales feature isn't enabled on your account, it doesn't change your quantity tracking.

For inks subject to REACH batch traceability, tracking happens specifically in the ink register, attached to each appointment with dedicated expiry alerts.
